This policy explains what personal information the Odovista website collects, why we collect it, who else can see it, and what you can ask us to do about it.
Who is responsible

What we collect
Information you give us in a form
Three forms on this site collect information. The Free Audit request asks for your practice website URL and your email address. The Contact form asks for your name, practice name, email address, phone number (optional), what you’d like help with, and any message you choose to add. The Plan Enquiry form, which opens when you select a plan on the Home page or Pricing page, asks for your name, practice name, email address, phone number, and the plan you selected. We only receive what you type and submit.
Please do not send patient information. These forms are not a secure channel for patient records or any other protected health information, and we ask you not to include it.
Information collected automatically
Like most websites, our hosting provider records standard server logs when a page is requested — IP address, date and time, the page requested, and browser and device information sent by your browser. These logs are used to run and secure the site.
Cookies and analytics
The site uses a cookie consent tool so you can accept or decline non-essential cookies, and it stores your choice so we do not have to ask again on every page. A caching layer may also set a technical cookie to serve pages faster. These are necessary for the site to work as intended.
We use Google Analytics (GA4) to understand how visitors use this site — which pages are viewed, general location and device type, and how people found us. Google Analytics is present on every page, but before you make a cookie choice it operates in a consent-restricted mode: it does not set a cookie and does not receive any information that identifies you, only an anonymous signal used for aggregate modelling. If you accept analytics cookies, a cookie is set and your visits are measured normally; if you decline, no analytics cookie is set and you are not tracked. We do not use a Meta pixel or any other third-party advertising tag.
You can also block or delete cookies, and opt out of Google Analytics specifically, in your browser settings. Some parts of the site may not behave correctly if you do.
Why we use it
- To reply to you and to carry out an audit, quote, or piece of work you have asked for.
- To keep a record of our correspondence with you.
- To run, secure, and improve the website itself, including understanding site usage through Google Analytics.
- To meet legal, accounting, or regulatory obligations.
Where the law requires a legal basis, we rely on your consent when you submit a form or accept analytics cookies, on our legitimate interest in operating and securing the site and responding to business enquiries, and on legal obligation where one applies.
We do not sell your information, and we do not use it to make automated decisions about you.
Marketing
If we email you about our services beyond answering your enquiry, it will be because you asked us to, and every such email will have a way to stop them. You can also tell us to stop at any time by emailing privacy@odovista.com.
Who else can see it
We share information only with the suppliers that make the site and our correspondence work, and only so far as they need it:
- Our web host, which stores the site and its server logs.
- Our form software, which records submissions and emails them to us.
- Our email provider, through which we reply to you.
- Google Analytics, which processes aggregated site-usage data, and receives a limited, anonymous consent-mode signal even before you make a cookie choice.
- Professional advisers and authorities, where we are legally required to disclose something.
Our web host is Hostinger. Our form software is WPForms, which stores submissions on our own server. We use Google Analytics for site analytics and do not currently use a third-party email marketing or advertising provider.
Where it is stored
Our suppliers may store or process information outside your country. Where that happens and the law requires safeguards for the transfer, we rely on the mechanisms our suppliers have in place.
How long we keep it
We keep form submissions and correspondence for up to 24 months after our last contact with you, then delete them. Server logs are kept for a short operational period by our host. Google Analytics data is retained per Google’s standard retention settings.
Your rights
Depending on where you live, you may be able to ask us to give you a copy of the information we hold about you, correct it if it is wrong, delete it, restrict or object to how we use it, or provide it in a portable form. Where we rely on consent, you can withdraw it at any time without affecting what we did before you withdrew it.
Email privacy@odovista.com to make a request. We will not charge you for it in normal circumstances, and we will respond within the period the law allows. If you are not satisfied with our response, you can complain to your local data protection authority.
Security
The site is served over an encrypted connection, and we limit who can access form submissions. No website can be completely secure, so please do not send us anything highly sensitive through a web form.
Children
This site is for dental practices and professionals. It is not directed at children, and we do not knowingly collect information from them. If you believe a child has sent us information, tell us and we will delete it.

Where we link to a site we do not run, this policy does not cover it. Please read that site’s own policy.
Changes
We may update this policy. The version on this page is the current one, and the date at the top shows when it last changed. If a change is significant, we will make that clear on the site.
